Job Description
Position Summary:
The Administrative Assistant will play a key role in supporting daily operations and ensuring
smooth communication between patients, clinicians, and outside providers. The ideal candidate
will be comfortable in a fast-paced environment, demonstrate strong multitasking abilities, and
bring a personable, professional demeanour to the front desk.
Key Responsibilities:
Answering and directing phone calls with professionalism and empathy
Scheduling, rescheduling, and confirming patient appointments
Managing clinician calendars efficiently
Coordinating referrals and communication with hospitals, external clinics, and other
health professionals
Filing and maintaining internal documents, hospital reports, and external correspondence
Preparing and managing patient charts, both electronic and paper-based
Processing and scanning incoming and outgoing documents into the EMR system
Managing intake paperwork and collecting patient information
Handling fax and email correspondence
Supporting clinicians with administrative needs as required
Ensuring confidentiality and compliance with privacy regulations (e.g., PHIPA)
Qualifications:
Post-secondary education in office administration, medical administration, or a related
field and/or
1–2 years of experience in an office setting (preferred)
Proficiency with EMR software, particularly Accuro is an asset
Exceptional organizational and multitasking skills
Ability to remain calm, courteous, and flexible amid constant change
Strong interpersonal and communication skills
Attention to detail and commitment to confidentiality
